Scientia Academia is committed to maintaining the highest standard of accuracy across our global academic event database. We recognize that scheduling and academic plans can change due to unforeseen circumstances. This policy outlines the precise protocols and procedures for modifying, postponing, or removing event listings from our platform.
1. Criteria for Listing Removal or Delisting
To ensure scholars access reliable information, Scientia Academia will remove or delist an event under the following circumstances:
- Official Cancellation: The organizing committee or hosting institution has officially cancelled the event.
- Indefinite Postponement: The original event dates have passed, and new dates have not yet been confirmed by the organizers.
- Policy Violations: Our Editorial Board has verified that the listing violates our Anti-Spam or Ethical Standards Policy.
- Redundant/Duplicate Listings: Secondary or duplicate entries for a single event are removed to maintain optimal search visibility and platform health.
- Legal & Copyright Compliance: A verified copyright infringement or valid legal takedown notice has been issued against the listing.
2. Protocol for Submitting a Removal Request
For Event Organizers
- Submission Channel: Requests must be sent via email to support@scientiaacademia.com using the official institutional or corporate email address associated with the original submission account.
- Verification Security: To protect event data integrity, we cannot process removal or modification requests originating from third-party or public domain email accounts (e.g., Gmail, Yahoo) without supplementary institutional verification.
For Researchers & Attendees
- Community Reporting: If you discover a "ghost conference" or an event that has been quietly abandoned, please utilize the "Report Event" button located on the specific listing page.
- Review Window: Our Editorial Board reviews all community-reported flags and initiates investigations within 72 hours.
3. Technical Content Handling & SEO Preservation
When an event status changes, Scientia Academia utilizes advanced search engine optimization (SEO) protocols to preserve the visibility and historical data equity of the page while accurately informing the public.
- Postponed Events (Status Update): The event page is not deleted. Instead, the user interface is prominently updated to display a "Postponed" status, and the backend metadata is updated. This retains your search engine rankings while preventing confusion for prospective attendees.
- Cancelled Events: The event page will display an explicit "Cancelled" notice for 30 days to inform historical traffic. Following this period, the URL will permanently redirect (301 redirect) to the most relevant regional or disciplinary category directory on our platform.
- Expired Events (Historical Archive): Concluded past events are automatically transitioned into our Digital Archive. This permanently preserves the historical record of the event and retains the backlink equity accumulated over its lifetime.
4. Right to Rectification (Global Privacy Compliance)
In alignment with global data privacy frameworks (including GDPR), all organizers retain the absolute right to correct, update, or rectify inaccurate or outdated data associated with their active or archived event listings.
- Processing Window: Valid data rectification requests are fully verified and updated within 3 to 5 business days of receipt.
